Request a Quote Guides

Aldevron’s “Request a Quote” feature allows you to get a formal price quotation in less than 5 minutes for items in your shopping cart before placing an order. Below is a step-by-step guide explaining how to request a quote, manage your quotes, and proceed with a quoted order.

To use this feature, you need to login and have a business account with Aldevron. Please send email to order@aldevron.com if you do not see this option on the Cart page.

Detailed Step-by-Step Instructions

1. Initiate a Quote Request from the Shopping Cart

After logging in to your Aldevron Online Store account, add the desired items to your Shopping Cart using Add to Cart buttons on product pages. Once all the products you need are in the cart, go to your Shopping Cart page. On this page, you will see your list of selected items, their quantities, and the pricing summary.

Look for the “Request a Quote” button on the cart page  that is under the “Proceed to Checkout” button in the order summary section. Click Request a Quote to begin the quote request process.

2. Name Your Quote and Submit the Request

After clicking “Request a Quote,” a Request a Quote popup window will appear.

In this form:

  • Enter a Quote Name: Provide a short, descriptive name for your quote (for example, a project name or purchase reference). This helps you identify the quote later in your account. The Quote Name field is required.
  • Attach Files (Optional): If you have a related document click Attach file to upload it. The system supports common file formats (e.g. PDF, DOCX, XLSX, JPG, PNG) up to 2 MB each by default. Attaching a file is optional – only do this if you have relevant documents to include.

Once you have filled in the Quote Name, click the Request a Quote button to submit your quote request to Aldevron. If you choose Cancel on the popup, no quote will be created.

After submission, the quote is typically assigned a unique Quote Number and appears in your account’s My Quotes section with a status as “Submitted”. In few minutes, status will change to “Updated” and then you will receive an email with your quote as an PDF attachment.

3. Viewing and Managing Your Quotes in My Quotes

To find the quote you just created, navigate to your account dashboard and click on My Quotes in the sidebar menu.

The My Quotes page lists all your quotes along with key info at a glance:

  • Quote Name – the name you provided.
  • Created (Date) – when you submitted the quote request.
  • Status – the current stage of the quote (e.g. New, Submitted, Pending, Updated, Ordered, etc., depending on the negotiation progress).
  • Last Updated – the last date of activity on the quote (e.g., when the seller or you last made changes or responded).
  • Quote Total – the total price of the quote (usually reflecting the current pricing for all items in the quote).
  • Action – typically a View link or button. Click View to open the detailed Quote page.

Tip: If your company account has multiple buyers and you are the admin of the company or permission, you see filters or options like “Show My Quotes” (to display only quotes you created) or “Show All Quotes”.

4. Reviewing Quote Details and Available Actions

When you click View on a quote from the My Quotes list, you will be taken to the Quote Details page for that quote.

Click Proceed to Checkout to convert the quote into an order.

This page provides the full details of your quote request and any updates from Aldevron. Here’s what you’ll find on the Quote Details page:

  • Quote Overview: At the top, you’ll see the Quote Name you chose, along with the Quote Number (assigned by the system) and the current Status of the quote. You will also see who created it (e.g., your name) and the Created on date, as well as the Expiration Date of the quote. Be mindful of the expiration—if you don’t act (e.g., proceed to checkout) before this date, the quote may expire and become invalid.
  • Items Quoted: A table listing each product in the quote, including product name, SKU, the quantity requested, the unit price, any discount applied, and the line subtotal.
  • Note/Comment History: If you or the Aldevron team added any comments or messages to the quote (for example, a note describing special pricing or alternate products), those might be visible in a comments section tab on this page. This helps you keep track of any back-and-forth during the quote negotiation.
  • Available Actions: On the Quote Details page, you will find several action buttons or links. The exact options can depend on the quote’s status and your role, but common actions include:
    • Proceed to Checkout: Click this when you are ready to accept the quote and purchase the items. This will convert the quote into an order and take you directly to the checkout process with the quoted prices locked in.
    • Send for Review: You can use Send for Review to submit your updates/comments or questions to Aldevron for review. While the quote is with the seller for review, it may be marked as Pending or Updated, and you won’t be able to edit it until the seller responds.
    • Close Quote: If you decide not to move forward with this quote, you can close it. Closing a quote will mark it as Closed (cancelling the request). This is typically used if you no longer need the quote or want to withdraw the request.
    • Delete Quote: For quotes that are in applicable states, you may have an option to delete the quote. Deleting removes the quote from your list entirely. You generally cannot delete quotes that have already been submitted to the seller; those should be closed instead.
    • Print / Download PDF: You can generate a PDF of the quote or print it directly.

5. Downloading or Printing the Quotation PDF

One of the advantages of the Request a Quote feature is the automatic generation of a formal quotation document. On the Quote Details page, you will see options to Print the quote or Download PDF. Clicking Download PDF will prompt you to save a PDF file of the quote to your computer, which you can then open or share.

This quotation PDF serves as an official record of the quote and includes important details:

  • Quote Number and Dates: Every quote is assigned a unique number for reference, along with the date it was created and the expiration date (e.g., “Expires on March 17, 2026” in the example).
  • Your Company and Contact Information: The PDF will list your company address from the main file.
  • Itemized List of Products: Each product you requested is listed with its SKU, description, quantity, unit price, and the extended line price. This mirrors what you see on the Quote Details page.
  • Totals and Terms: The quote shows the subtotal and any applicable terms (e.g., payment terms like Net 30) and notes about taxes or shipping (tax and shipping are calculated when you finalize the order, so they may not be on the quote PDF or $0 tax for tax exempt companies).

Using the Print button will format the quote for printing, which is handy if you need a paper copy. You can also simply save the PDF and email it to colleagues or use it for your records.
